Background

Skylight Health Research contracted Tea Leaf Health to reach new endometriosis patients through trusted community channels across two sites in Burlington and Colorado Springs. 

The challenge: Part way through enrollment, the sponsor released a newly updated, more restrictive protocol.  Traditional recruitment approaches: generic social media ads and cold outreach to advocacy groups were yielding low response rates and limited patient engagement.

Solution

Tea Leaf Health deployed PartnerIQ, an AI-enabled grassroots patient engagement platform that identifies and activates community partnerships through data-driven targeting and authentic messaging.

We put together 2 community engagements:

- Educational webinar featuring authentic researcher-patient dialogue between Skylight's Clinical Researcher Alisha Garibaldi and Maria Morales, an Endometriosis Warrior and Community Health Worker

- In person Community Health Talk, “Advancing Healthcare Close to Home”, featuring the lead researcher at the Burlington site discussing why local clinical research is important.

Execution Timeline

Tea Leaf Health delivered draft materials within 3 business days of contract signing, navigated IRB approval with minimal revisions, and had community partners actively distributing recruitment materials within days of regulatory clearance. This compressed timeline, from contract to active recruitment in under two weeks, stands in stark contrast to the typical 2-3 month partnership development cycle that sites face when building community networks manually.

We were able to:

- Successfully identify and activate high-impact community partners within the first week, with 23 groups actively distributing recruitment materials within days, eliminating typical 2-3 month partnership development cycles

- Prescreen over 100 candidates 

- Have 16 local community groups actively to distributing recruitment materials to their established networks in person

- Expand study awareness to 300+ relevant patients through methods including educational webinar with authentic researcher-patient engagement that built trust rather than corporate messaging
